Top Tips for In-House Lawyers: Using Technology Effectively

The legal technology industry is booming. Valued globally at $30.33 billion in 2024, it’s projected to hit $46.88 billion by 2029, driven by AI-powered tools that promise faster document review, streamlined admin processes, and improved compliance. From global City firms to boutique practices, everyone wants a slice of the tech pie. But here’s the catch: new doesn’t always mean better.

Before you rush to sign up for the latest shiny platform, ask yourself these three critical questions:

1. Are You Maximising What You Already Have?

Budget constraints are real—especially in today’s economic climate. Instead of splashing out on new software, audit your existing tech stack. Tools like Microsoft 365 and Google Workspace often have underused features that can solve everyday problems. For example:

  • Forms for client intake
  • Excel or Google Sheets for contract tracking
  • SharePoint for document collaboration

According to a recent survey, 60% of law firms underutilize their existing technology, leaving money and efficiency on the table. It is essential to do your research on the tools already at your disposal. If they are fit for purpose, there may be no need to invest in the latest tools, bearing in mind it isn’t just the financial cost, it is the time spent doing demos, selecting, and then onboarding which can be a huge time spend.  Many tools whilst effective out of the box will still need time for training, customisations to work just how you need them to work – so the time cost is likely to continue for a long period after the first launch.

2. What’s the True Cost Over Time?

That affordable monthly subscription? It adds up. Over five years, a $500/month tool costs $30,000—and that’s before training and integration. Consider whether you can build something simple internally for the same cost (or potentially even less). Many firms leverage in-house developers to create custom solutions on platforms like SharePoint, saving thousands annually, but importantly you can end up with a solution that does exactly what you want.  Most difficulties with legal tech is that it doesn’t quite fit the way the business wants to work, and the most distinct this issue is the greater the barrier to adoption it will be.  So don’t always jump to the shiniest most expensive and perhaps most popular tool out there, make sure you truly are getting what you want.

3. Are You Protecting Business Data?

Compliance is non-negotiable. AI tools often involve the inputting of sensitive business information, whether this be personal data or trade secrets, which raises data security concerns.  Proper due diligence is key to ensure issues like where data will be stored, and what will be done with the data when it is uploaded, are managed.  In addition, it is up to the user and the business to decide what data is inputted into the technology.  The Law Society has previously warned law firms for example to review AI guidelines that they employ carefully before implementation of new tech tools. A 2025 report found that 81% of lawyers use AI weekly, but only 21% of firms have formal AI using policies — so it is important to ensure that when you install a new piece of tech, everyone is clear what can and can’t be inputted.

Bottom Line

Legal tech isn’t about chasing trends—it’s about solving real problems. Before investing, ask: Will this tool make life easier for my team and our business? If the answer isn’t a resounding yes, pause. Often, the most effective solutions are already at your fingertips. Leveraging existing tools can cut costs, speed up implementation, and reduce compliance headaches.

Remember, technology should serve your strategy, not dictate it. A flashy AI platform won’t fix broken processes or poor data hygiene. Start small, measure impact, and scale what works. Taking this pragmatic approach can often see noticeable efficiency gains without blowing the budget.

In short: don’t buy tech for tech’s sake—buy results. Focus on tools that deliver measurable value, protect your data, and align with your long-term goals. That’s how you future-proof your legal team without wasting time or money.
